Actual weight and chargeable weight: questions to ask

An air freight quotation may consider the space a shipment occupies as well as its weight. Supply both sets of measurements and ask the provider to explain the chargeable weight used in your quote.

Measure the finished package

Measure length, width and height at the outermost points after packing. Include handles, protective packaging and any pallet or overhang that affects the occupied space. Weigh the complete package rather than just the contents.

Record each piece separately. For three boxes, send three sets of dimensions and weights. Mark whether measurements are in centimetres or inches and whether weights are in kilograms or pounds.

Ask for the calculation basis

  • Which volumetric method or divisor applies to this shipment?
  • Is chargeable weight assessed per piece or across the whole consignment?
  • What rounding rule and minimum charge apply?
  • What happens if the accepted measurements differ from the estimate?

Use the confirmed rule, not an internet example

Do not assume that a divisor copied from another carrier or transport mode applies to your booking. Ask the quoting team to show the calculation using your measurements. A light but bulky package can be priced differently from a compact package of the same actual weight.

If you repack or add a piece, send the revised figures before accepting the quote. Reducing unused packaging space can make the measurement more representative, but protection and safe packaging must come first.
